AS-BUILTS, PLANS & REPORTS
Some cities and agencies require an appointment to get record information. Others cities require you look through the files yourself and still others will put everything on a DVD. Some agencies have multiple record storage areas. Not just knowing which forms to fill out but how to make the request is equally important. Not only do we look for plans and reports at governmental agencies but we also make requests to the engineers and developers that prepared the plans or reports.
UTILITY MAPS & PLANS
There are over 50 utilities companies in the Phoenix metro area with underground facilities: petroleum, irrigation, private water, private sewer, communications, nitrogen, natural gas mains, chiller lines, etc. There are cities with municipal utilities inside other cities. In numerous areas throughout Arizona there can be more than 15 different utilities in a single street. Are you getting all the information you need? Over the years we have developed contacts with numerous utility companies and know who to contact and how to request their records.
UTILITY CONTACT LISTS
Whether you need utility contacts for due diligence or for a pre-construction meeting we can provide you with a list of verified names and numbers for each utility you need. With large companies sometimes finding the person you need to talk to is the hardest part. The person that provides the maps, the person that designs new services and the person that knows about the existing facilities is rarely the same person. We make the calls, follow up and verify the name and phone number of the person you need to talk to for that site.
UTILITY COORDINATION
We can assist you with getting specific information from a utility about specific or unique issues with your project. For example what are the specific requirements for crossing over or under a utility (easements, fees, submittal process and requirements, etc.)? What are the issues regarding electric transmission lines (landscaping, maintenance vehicle access, maximum vehicle height, etc.). Or we can help you with other utility coordination issues.
WILL SERVE LETTERS, ABANDONMENTS OR RELEASE OF EASEMENTS
We send the requests to the correct departments and make the follow up calls to make sure they received the request. We continue to call them to make sure they finish the request in a timely manner (generally 30 days or less) while provide you with regular status updates. We send you the responses we receive via email so you can easily access them.
UTILITY CONFLICT REVIEWS
Many times the utility list from one project is copied to the new project in another area. Or a company uses a standard list of utilities whether those utilities are in the area or not. In many cases, wasting money filling out forms, printing plans, tracking and postage for utilities conflict reviews not needed and missing utilities (fiber optic, chemicals, etc.) in front of your site. We can save you money by sending conflict reviews to the utilities on and adjacent to your site. We also know which utilities we can make the request via email saving money on printing. Lastly we make the follow up calls to get responses in a timely manner while providing you with regular status updates saving your budget by not having your staff charge their time.
ZONING RESEARCH
In some cases, the original zoning setbacks are less than what the current zoning is today. The same thing may also be true for parking, height and other requirements that impact your project. We can research site plans, prior or pending Zoning Case information, Planned Area Development (PAD) documents, etc. so you have actual zoning and setback requirements.
AGENCY PROCESSES, FORMS, REQUIREMENTS, PUBLICATIONS AND FEES
We can assist with you with submittal process, the items that will be required (forms, fees, plans, reports, etc.) so you are not surprised or have to delay your submittal while completing a plan or report. We can provide current agency information and help you make sure your records are up to date.
We pride ourselves on going beyond just providing you the information you requested but keeping ourselves aware of any additional information you need. Anyone can send a courier to pick up a specific quarter section map, but we will look to see if you need adjacent maps as well. If researching records and we find or hear about future/proposed work in the same area, we will try to get those records or provide you with information about who you can contact. We know that details in the records are also very useful like having the key sheets, storm drain details and paving details.
